If you like the idea of a clocking-in system, or have used one before
and would prefer to keep to this style of attendance records, then there
are a number of more modern versions available. Some of the newer
machines still use a card system, but instead of punching-in holes they
print the start and finish times on the clock cards. More complex
versions of the machines have calculating functions in-built, and will
print totals on the cards at the end of the day, week, fortnight, and so
forth. Late starts and finishes or abnormal attendance can be
highlighted on the cards by the machine. This saves time for the
payroll or accounting staff, and eliminates human error. Although
you can get hardwired machines that require installation, there are
battery-operated versions as well, and these are generally more portable
so would be a good solution for businesses on the move. Some of
the more expensive machines also calculate leave, overtime, holidays and
additional allowances, making it far easier to figure out the pay for
each employee. These systems can handle large numbers of employees
as well, so there’s no need to be concerned about needing a cumbersome
or custom-made system.
If you have a large business or are concerned about keeping track of
your employees attendance, there are a number of high-tech solutions for
you. You may opt to have multiple clocking-in stations that are
wired to one database, or if you are particularly concerned about
attendance fraud (employees clocking in and out for people that are not
actually at work), you can implement a hand swipe or finger print system
that uses biometric recognition. Instead of employees using cards
to clock-in, they use their hand print or finger print. Their
times are then recorded into the database. Even more advanced are
the custom-designed systems created by specialist companies which can
even record roll-calls at evacuation drills and training times, or job
times for businesses that are concerned with things such as deliveries,
call-outs (plumbing, electricians, builders, contractors) and security
rounds. These custom systems can also take into account differing
work agreements (part-time or temporary employees, for instance).
You may instead be looking for accurate time-and-date stamping or
recording systems, not only for your attendance records but for the
general running of your business (to keep track of correspondence and
deliveries received and sent, for example). There are a number of
electronic hand-held devices that use printing technology to ‘stamp’ the
details you need recorded onto your paperwork. Never again will
you have to argue with couriers or employees over the date and time
particular actions were carried out or products were received or sent.
Throw away those old time-sheets, your hand-written records and your
punching-card systems. With the incredible advances that have been
made in time-management technology, your attendance worries are now a
thing of the past.
